Objective:
To manage front desk and administrative day to day activities effectively and conduct cash book keeping of assigned projects.
RESPONSIBILITIES:
Administrative Duties:
- Greet and welcome guests as soon as they arrive at the office and direct visitors to the appropriate person and office
- Answer, screen and forward incoming phone calls in time
- Assist Admin & Logistic Officer in administrative and logistic arrangements of project activities (meetings, workshops etc.)
- Assist Admin & Logistic Officer in processing the visa, immigration, NOC for staff if required.
- Record keeping of all administrative arrangements properly.
- Assist Admin & Logistic Officer in monitoring of availability of supplies (spare parts, stationary etc.) and arrange for replenishment
- Under supervision of Admin & Logistic Officer regularly update the project/program inventory list
- Managing WHH Stationary Material in stock. Responsible for ordering, storing & administering the issue of all stationery stock as well as office supplies and office equipment
- Assist and responsible to control and maintain the office equipment’s
- Assist and ensure the availability of office utilities
- Ensure the timely travel and stay arrangements for all staff and guests when needed/requested
- Prepare hand/taking over of equipment with staff, visiting cards, Staff ID Cards, Phones etc if requested.
- Assist in maintaining the attendance register, leave requests, health claims under the supervision of Admin & Logistic Officer.
- Contributes to team effort by accomplishing related results as needed
- In addition to the above the Admin Assistant cum Cashier may be asked to carry out other WHH-specific duties in line with your general conditions of employment by the immediate line manager.
Cashier Duties:
- Works with the software Funds Pro Cash Book
- Prepares all cash vouchers
- Prepares cash replenishment in accordance with WHH procedures
- Reviews documents for arithmetical correctness, completeness and signatures
- Checks and books vouchers under supervision of Finance Officer.
- Keep cash boxes (separated by projects) in the safe when not in use
- Safeguards cash money and cash boxes
- Ensures that all cash vouchers are settled properly and in time
- Closes cash books with proper documentation in Funds Pro of all projects on monthly basis.
- Assists the accountant in the booking process and responds to any requests or clarification he/she may have
- Prepare monthly cash reconciliation of each project and prepare monthly cash count.
Requirements
- Proven work experience as a Cashier and Admin Assistant, Front Office Representative or similar role
- Graduation with additional certification in Office Management is a plus
- Proficiency in Microsoft Office Suite, with additional cash management experience in any relevant software.
- Experience and knowledge of Visa processing, NOC, immigration would be an added value
- Hands-on experience with office equipment (e.g. photocopies, fax machines and printers etc.)
