Job Description:

 Total Positions are 4 for Hyderabad, Shikarpur, Jamshoro, & Ghotki respectively

Travel requirement 10%

Position Objective

The incumbent will be responsible to support project activities in terms logistics, Warehousing & Supplies management of UNICEF funded project. The Warehouse Assistant will ensure to Support provincial Logistics team in overall logistics & Warehouse Management at base & Field level, in term of planning, technical support to the team on supply, warehouse management, fleet management, and implementation of projects framework under logistics domain Warehouse office protocol and proper supplies of commodities and record keeping. 

Mission 1: Warehouse Physical Management:

  • Ensure Physical integrity of the premises: security-protected entrances (lock and fire extinguishers), no water damage, no cracks in the roof or walls, no rodents, etc on regular bases.
  • Regular cleaning of floors, walls, Acs maintenance, no food or sugary drinks, etc with support of the office cleaner  
  • Protect the walls from direct sunlight (by an overhanging roof or an additional wall or with sand bags)
  • Make sure the data lodger for temperature record are working properly and are installed with proper height.
  • Close each opening (air vent and windows etc.)
  • Access only to authorized persons, one person in charge who is responsible.
  • Rodent control and eradication system in place.
  • Each opening (Window and air vent) with protective grill (if any)
  • Ensure Bin must be covered with lid.

 Mission 2: Reception of supplies at ACF Warehouse:

  • Check the number of parcels, according to the cargo manifest. In case of problem (missing parcels) report to the logistics Manager/ Base in charge.
  • Upon reception of the supplies randomly counting of the supplies and CTNs
  • Check the packing or the boxes. If any problem (damaged parcels) check carefully the content item per item and report to the logistics coordinator.
  • Acknowledge reception on the field stock request order form
  • Attribute one expedition number to each parcel
  • Fill the copy of the freight document, forward the originals to the office
  •  Mission 3 :

Ensure proper Management of the supplies with in the warehouse and its tracking as per the ACF and UNICEF protocol:

  • Supervision of casual workers working in the RTS area.
  • Registration of all movements of stock IN / OUT on the tools of the stock Management.
  • Updated record of IN/ OUT movement on daily base.
  • Conduct a monthly physical inventory of all commodities
  • Sharing stock update with Log. Manager and Project Manager on daily base.
  • Ensure the proper staking of all UNICEF commodities
  • The product should be kept in the required temperature.
  • Arrange all the supplies as per batch and Expiry.
  • Expired stock must be isolated from the storage area and secured
  • Follow the FEFO rule (First Expiry First out).
  • Keep follow up on the delivery notes out with program team to update the record of the warehouse.
  • Coordination with Donor warehouse officer for movement of the supplies from UNICEF warehouse to ACF warehouse.
  • Responsible for all stock management and stock reconciliation system in the Warehouse.
  • Ensuring compliance with special storage conditions required for certain specific products (cold chain, products considered to be narcotics) if any.

 Mission 4 :

Expedition Management (RTS):

  • One area has always to be clearly identified for each destination
  • Proper installation of the goods on the shelves or wood pallets when needed, nice, clean and easy to handle and find.
  • Proper packing according to means of transport
  • Proper labelling of each parcel, with destination, parcel number, waybill number, weight available and means of transport.
  • Definition of the freight: according to the means of transport
  • priorities given according to field order delivery limits
  • Proper waybill and packing list to be sent with each consignment, one full copy to be forwarded to the office the same day.
  • Update without delay of the field order from with mentioned waybill number (and the possible back order) for each item.
  • Update of the corresponding ready to ship form

Note: inform in time the transporter if the ready to ship goods are not enough to fill up the weight available.

 Mission 5 (A):

Administrative follow-up of the warehouse:

  • Daily update of the ready to ship (RTS)
  • Fill the delivery notes store’s copy
  • Issue the waybills and packing lists
  • Fill the waybills and packing list store’s copy
  • Daily update of the field stock release order forms
  • Send Weekly to the logistics manager all the office’s waybill copies and the ready to ship
  • Send weekly to the logistics coordinator all the closed orders
  • Prepare the field order follow up at the end of each month and send a copy to the logistics coordinator

 Mission 6 (B): 

Procedure & Reporting

  • Comply with all the reporting requirements from Country/base level.
  • Present the all consolidated monthly reports as required according to ACF guidelines.
  • Maintain accurate filing systems, with documented and supported records of action for audit purposes, and submit weekly and monthly reports to the Project Manager & donor as and when they required. 
  • Stock Situation {Deliveries received, damages, stock Request).
  • Keep track of quality, quantity, stock levels, delivery times, transport costs and efficiency 

Mission 7 (C)

Compliance

  • Ensure compliance with ACF policies and procedures, donor regulations and local laws.
  • Manage all types of contracts with suppliers and service providers.
  • Meet any adhoc donor requirements in a timely and complete way.
  • Adapt car requirements on daily basis upon urgent requests, approved by Logistics Officer;
  • Provide alternate solutions, in coordination with Logistics Officer / Manager supervision;
  • Control all documentation related to vehicles (Insurance, Log Books, Fuel Consumption...);
  • Prepare copies and control of Log Books on weekly basis to track vehicles’ use by drivers and compliance to ACF transportation procedures; (in absence of Log Associate)
  • Consolidate and control the Fuel Consumption Follow Up for Logistics Officer / Manager on weekly basis (in absence of Log Associate)
  • Fill in and provide the monthly Fuel Consumption Follow Up and Vehicle Information Table according to dates of submission indicated in ACF internal procedures.

Mission 8: Ensure compliance with ACFs gender equality, child protection sensitivity and safeguarding policies

The Warehouse Assistant is responsible for:

  • Read and ensure a full understanding of ACFs Gender, Child Protection and other safeguarding policies  
  • Implement all work related activities with a gender, inclusion and child protection lens
  • Help build an inclusive office environment where people do not feel disadvantaged or judged according to their gender or limited due to manageable disability.

Mission 9: Prevent and manage fraud and corruption at base level

The Warehouse Assistant is responsible for:

  • To assist identifying the risks of fraud and corruption in his/her field of competence and putting in place preventative and monitoring mechanisms
  • making his/her team aware of the risks of fraud and corruption
  • alerting the Country Director to cases of fraud and corruption and undertaking  corrective action putting in place and monitoring recommendations arising from the day-to-day control and audits
