Job Description:

The job holder is accountable for fulfilling his or her roles and responsibilities in line with organizational values and principles of fairness, humanity, honesty, respect, and fair treatment of his/her colleagues and staff.


The following are the main responsibilities that the role holder will be accountable for:


·         Exercising Delegated HR authority.


HR Policies:


·         To ensure implementation of existing HR policies at regional/area level.


·         Reviewing HR policies and practices to provide high quality and cost effective HR services to the organization.


·         To assist senior management at region/area level for development of HR strategy.


Recruitment:


·         Developing HR planning and its strategy at area level.


·         Assist in development & processing of all job requisitions for the regional/area office level positions.


·         Job advertisement for the vacant positions.


·         Conducting Test /Interview at area level and its arrangement.


·         Conducting reference check for the selected candidates.


·         Preparing / processing offer letters.


·         Preparation of employment contracts.


·         Conducting new staff induction.


Compensation


·         Advising on pay compensation in accordance with approved salary structure guidelines.


·         Preparing salary details for the month.


·         Processing staff benefits, like medical claims etc.


Capacity Building:



  • Analysing training need in conjunction with line managers at area level.



  • Requesting and conducting LNAs.

  • Processing training requests.

  • Advising staff regarding training program.


Staff Counselling:



  • To address staff grievances and complaints at area level.

  • Career Counselling.


Performance Appraisal:



  • Ensuring staff objective setting at the start of year.

  • Ensuring 100% completion of annual appraisal

  • Conduct staff recognition program at regional level to motivate the staff

  • Processing staff probation completion forms for confirmation letter issuance


Corrective Measures:



  • Support and facilitate the Regional/Area management for the corrective actions when necessary.


Other HR Practices:



  • Responsible for the staff HRIS management.

  • Maintain confidentiality of HR practices, processes and its documentation. 

  • Maintaining shadow personal files at regional level.

  • Processing for employee ID cards.

  • Ensure that accurate job descriptions are in place.

  • Complying with the organizational Equal Opportunities policy, Code of Conduct and other legislations.

  • Ensuring the fair and transparent process of recruitment.

  • Coordinate staffing process and functions to identify optimal recruiting strategies; ensuring proper selection.

  • Supports execution of annual HR processes such as compensation reviews and succession planning discussions.

  • Participate in applicant interviews

  • To carry out field visits to monitor working conditions.
